overview & purpose in print order processing, a vast amount of time is spent on the artwork approval process, which includes plenty of emails with an enormous amount of time & energy to address this concern, we have designed a tool especially for print service providers and for those who serve graphic designers and want to save time on proofing & artwork approval the proofing tool from onprintshop is a collaborative tool that ensures a faultless approval cycle through the design proofing tool, your customers can preview and provide immediate feedback on the designs, which designers can understand and quickly make necessary changes for final approval this process can be continued without any hassle till the time your customer doesn’t find the design well why use the proofing tool? places an order for a standard business card with their product design in the admin panel, the admin can open the order and find the modify design button under the order product details section from the modify design screen, the admin gets two options either they can upload a new design or select a design from the user's design/portfolio select user design here, the admin will get an option to select the user design (i e , the designs created by the customer who has placed the order) however, they’ll have the option to select from the designs created by other customers as well when the ask for approval option is enabled, the admin can request the customer’s approval before finalizing the design, and the system automatically changes the order status to awaiting approval while also displaying the visual proof toggle, which enables the visual proof tool for customers to view the design changes made in the proofing tool upload design this option allows the admin to upload a revised or updated artwork file and add comments explaining what changes were made when the ask for approval option is enabled, the admin can request the customer’s approval before finalizing the design, and the system automatically changes the order status to awaiting approval while also displaying the visual proof toggle, which enables the visual proof tool for customers to view the design changes made in the proofing tool design proofing workflow (customer side) in onprintshop, design proofing can be performed using either standard proofing or visual proofing , based on the options selected by the admin while modifying the design when the admin updates the artwork using the modify design option, they can enable ask for approval (for standard proofing), and/or visual proof (for visual proofing) depending on the selected option, the customer receives the proof accordingly ask for approval (standard proofing) with the "ask for approval" option, the admin can share the revised artwork with the customer for approval through a basic review flow in this process, the customer can preview the uploaded design file and provide approval feedback without using annotation tools this is useful when the customer only needs to confirm the design and no detailed markups are required example use case a customer uploads a business card design the admin corrects minor alignment and uploads the revised file since no detailed feedback is required, the admin enables only ask for approval once the design has been modified, the admin will save the changes made customer action the customer will receive an email notification about the design modification, and through that customer can visit their order section and will have the option of approve your proof on the storefront, the customer reviews the design and approves it once approved, the order product status changes to proof approved this confirms that the artwork is finalized and ready for production visual proofing visual proofing is an advanced proofing process where the customer can mark and comment directly on the design using built in annotation tools this helps reduce confusion andimproves communication during the approval cycle this method is recommended for products that require frequent edits or detailed feedback example use case a customer placed the order with a standard business card design they want to review the layout and suggest multiple text and image changes the admin enables both ask for approval and visual proof while uploading the updated file the customer can now review and comment on the design directly customer action under the orders section, the customer will find the order product status as – awaiting proof approval , along with a button labeled ‘review your proof’ the button will be redirected to the visual proof screen the proofing tool includes various panels that help customers add comments to the design and suggest changes the top panel contains the highlight, pointer, circle, and pencil tools, and more customers can select any tool, point it to the design, and write a comment customers can also add a common comment, which will appear in the comments section the individual comments can be deleted using the bin icon there is also a navigation panel provided, which will help the customers switch between different product pages this is helpful for the products with multiple pages along with these, there is a zoom in, zoom out, download, and print option there is also an action panel that allows the customers to save, download, and continue ahead from the proofing tool, when the customers click on the continue button, they will have two options – make changes & send new proof or approve as is case 1 – make changes and send new proof after reviewing the design, when the customers feel that the design needs some modifications, they will suggest the changes and provide feedback using the highlighting tools and comment sections on clicking on the continue button, the customers will get the option " make changes & send new proof" once selected, the order product status changes to awaiting proof with changes admin action – once the customer submits comments through the proofing tool, the admin can review them from the admin panel under view/update order the user proof comments opens the proofing interface on the admin side, displaying all customer annotations and comments clearly the admin can also access the same feedback through the proof feedback button available in the order history after reviewing the requested changes, the admin can update the artwork and upload the revised file again using the modify design option in cases where the customer selects make changes & send new proof , the ask for approval and visual proof options are enabled by default to ensure the updated design is sent back for customer confirmation case 2 approve as is after reviewing the design, if the customer is fully satisfied and does not require any changes, they can directly approve the proof in this case, the customer does not need to add any comments or use the annotation tools on clicking the continue button, the customer will get the option approve as is once selected, the order product status changes to proof approved , confirming that the artwork is finalized and ready for production admin action – after the proof is approved, the admin can view the updated status from the admin panel under view/update order since the customer has approved the design as it is, no further changes are required, and the admin can proceed with the next stage of order fulfillment, such as printing and production if required, the admin still has the option to modify the design again using the modify design option and resend the proof for approval
